Summit Search Group has been retained by the Winnipeg Metropolitan Region (WMR) on the recruitment of an Office Administrator on a one-year term with possibility for extension. Established in 1998 and operating as a statutory corporation under the Province of Manitoba, WMR serves as the coordinating body for municipalities across Manitoba’s capital region, including the City of Winnipeg. Home to two thirds of Manitoba’s population and a major driver of the province’s economic activity, the region depends on WMR to ensure that growth, land use, infrastructure, and services are planned with coordination and purpose across municipal boundaries.
WMR’s work centers on the cross-boundary challenges that no single municipality can address alone: infrastructure investment, housing and land use, economic development, and environmental resilience. The organization’s defining initiative at this moment is the development of a new regional plan, a legislated undertaking that will shape how the region grows and coordinates services for years to come.
The Opportunity
The Winnipeg Metropolitan Region is seeking an experienced and adaptable Office Administrator to join its team on a one-year term basis, with a clear intent to transition the role into a permanent position. This is a deliberately blended role, combining senior executive and board support functions with the day-to-day administrative needs of a dynamic, quasi-governmental office. Reporting to the Executive Director, the incoming Administrator will serve as an organizational anchor, managing clerical and operational functions while providing meaningful support on board governance, financial coordination, and HR administration.
The role requires professional maturity, sound judgment in handling politically sensitive information, and the flexibility to manage shifting priorities in an environment where the mandate and project landscape evolve with provincial direction. Prior exposure to government or quasi-governmental settings is considered a genuine advantage. The organization anticipates this position growing toward a more senior scope over time, making it a compelling opportunity for a capable administrator who is ready to contribute meaningfully and build something lasting.
Key Responsibilities
- Provide comprehensive administrative and clerical support to the Executive Director and staff, including correspondence, records management, scheduling, and calendar coordination across a small, active team.
- Support board governance functions, including agenda preparation, meeting minutes, document distribution, and logistical coordination for board meetings.
- Serve as first point of contact for visitors and incoming communications, managing phones, general email, and mail intake while maintaining a professional and welcoming front-of-office presence.
- Act as the organizational liaison for employee pension administration, group benefits, corporate insurance, and external service providers, supporting the Executive Director rather than owning these functions directly.
- Assist with financial administration, including processing invoices, receipts, and cheque requests, and contribute to the development of standard operating procedures and policy documentation as directed.
- Oversee day-to-day office operations, including supply management, building and maintenance coordination, meeting logistics, and general errands, ensuring the office runs smoothly and efficiently.
Qualifications
- 3+ years of progressive administrative experience; prior experience in a government, quasi-governmental, nonprofit, or similarly structured environment is considered a strong asset.
- Demonstrated ability to support senior leadership with discretion, including experience with board governance coordination and the handling of confidential or politically sensitive information.
- Proficiency with the Microsoft Office suite, including Word, Excel, Outlook, and Teams, with the ability to adapt comfortably to evolving tools and systems.
- Excellent written and verbal communication skills, with a professional presence and the interpersonal confidence to engage effectively with staff, board members, government officials, and external stakeholders.
