THE OPPORTUNITY
Reporting to the Executive Office Lead, this position provides essential support to the offices of the President and CEO and the Chief Operating Officer. It is a high-trust, high-visibility role that sits at the center of Manitoba Hydro’s executive operations. The successful candidate will be a composed and resourceful professional who brings discretion, sound judgment, and genuine initiative to a fast-paced environment. They will be equally comfortable managing competing priorities independently, engaging with senior leaders, and serving as a reliable point of contact for internal and external stakeholders. This is an opportunity for someone who takes real pride in operational excellence and understands the impact that strong administrative support has on an organization’s leadership.
KEY RESPONSIBILITIES
- Provide comprehensive administrative support to the Executive Office Lead, managing correspondence, coordinating responses, and serving as the primary point of contact for internal and external stakeholders.
- Coordinate scheduling for the COO and support travel arrangements for both the CEO and COO as directed by the Executive Office Lead.
- Plan and organize executive meetings, town halls, conferences, and special events, including all logistics, room bookings, and guest coordination.
- Process financial transactions including month-end Visa reconciliation, invoices, and service entries with accuracy and timeliness.
- Maintain the President and CEO’s SharePoint site, filing systems, and records to ensure information is current, organized, and readily accessible.
- Backfill for Executive Assistants in Vice-President offices as needed and provide guidance to junior staff, contributing to a cohesive, high-performing administrative team.
QUALIFICATIONS
- Post-secondary business or administrative coursework with a minimum of three years of related experience; or four or more years of equivalent experience in a senior administrative role.
- Exceptional written and verbal communication skills with a strong command of business English, grammar, and professional correspondence.
- Proficiency in Microsoft Office Suite; familiarity with SAP and HRMS is an asset, along with a readiness to learn new platforms as required.
- Proven ability to handle sensitive and confidential information with discretion, integrity, and sound judgment, particularly in a high-profile executive environment.
- Strong organizational skills with the capacity to manage multiple priorities, meet firm deadlines, and operate with a high degree of independence and minimal supervision.
- A polished, diplomatic manner with the interpersonal skills to engage effectively and professionally with colleagues, executives, and external parties at all levels of an organization.
