The Position:
Summit Search Group has proudly partnered with Portage Mutual Insurance on the search for their next Corporate Events and Office Coordinator. They are seeking a highly organized, proactive, and detail-oriented professional to manage corporate events across five office locations while supporting daily office operations in their Winnipeg office. This dual-role position is ideal for someone who thrives in a fast-paced environment, enjoys coordinating logistics across multiple teams and locations, and excels at creating seamless employee and client experiences.
The Corporate Events and Office Coordinator will oversee event planning and execution for internal and external corporate functions across all offices while ensuring efficient office administration, vendor coordination, and workplace support for the Winnipeg location.
Location: On-site, Winnipeg, 5 days per week. The office is located in Seasons of Tuxedo.
Office opens September 1, 2026; candidate may work remotely or in a hybrid capacity for the first month while the space is being finalized.
Key Responsibilities:
Corporate Events Coordination
- Plan, coordinate, and execute corporate events across five office locations, including:
- Team meetings
- Client events
- Conferences
- Trade shows
- Holiday parties
- Executive gatherings
- Employee engagement activities
- Coordinate event logistics across multiple offices to ensure consistency in experience, branding, and execution
- Manage event timelines, budgets, vendor relationships, and contracts
- Coordinate venue selection, catering, transportation, accommodations, and event materials
- Support virtual and hybrid event logistics when required
- Collaborate with leadership, HR, marketing, and local office teams to ensure successful event delivery
- Track event expenses and prepare post-event reports and evaluations
- Ensure all events align with company branding, culture, and operational standards
Office Coordination – Winnipeg Office
- Support daily office operations for the Winnipeg office to maintain an organized, efficient, and welcoming workplace
- Coordinate with vendors, building management, and service providers for the Winnipeg location
- Manage office supplies, equipment, and vendor relationships for the Winnipeg office
- Coordinate office maintenance, repairs, and facility-related requests
- Support onboarding logistics for new employees including workspace setup and office orientation
- Manage meeting room scheduling and shared office calendars
- Assist with travel arrangements and administrative support as needed
- Handle incoming mail, deliveries, and office communications
- Support local employee engagement initiatives and office activities
Qualifications:
- 2–5 years of experience in event coordination, office administration, workplace operations, or a similar role
- Experience coordinating activities across multiple office locations is considered an asset
- Strong organizational and multitasking abilities with the ability to manage competing priorities
- Excellent written and verbal communication skills
- Ability to work independently and collaboratively with geographically dispersed teams
- Proficiency with:
- Microsoft Office Suite
- Google Workspace
- Event management platforms
- Video conferencing tools
- Experience managing vendors and budgets preferred
- Professional, customer-service-oriented attitude
- Postsecondary education in business administration, hospitality, communications, or related field is an asset
