The Position:
Summit Search Group has been retained by Native Addictions Council of Manitoba (NACM) on the recruitment of their next Executive Assistant. NACM is a community-based non-profit organization dedicated to supporting Indigenous individuals, families, and communities through culturally grounded programming and services. Rooted in respect for Indigenous traditions, teachings, and healing practices, the organization works collaboratively with community members, partners, and funders to promote wellness, resilience, and self-determination. The Executive Assistant provides high-level, confidential administrative support to the Executive Director and Board of Directors, playing a critical role in the day-to-day functioning of the organization. This position is central to ensuring the effective coordination of organizational operations, governance activities, and internal and external communications, while supporting leadership in achieving strategic and operational goals. The ideal candidate is highly organized, detail-oriented, and professional, with a strong understanding of Indigenous communities, cultural values, and the importance of maintaining respectful and appropriate boundaries within a community-based environment.
The Executive Assistant must exercise sound judgment in all aspects of their work, maintain strict confidentiality when handling sensitive information, and demonstrate a high level of integrity and discretion. Working closely with the Executive Director, this role requires the ability to balance direction with initiative, proactively anticipating needs, managing competing priorities, and adapting to changing demands in a dynamic and fast-paced setting. The successful candidate will be a reliable and collaborative team member who contributes to a well-organized, efficient, and respectful workplace.
Key Responsibilities:
- Provide comprehensive administrative support to the Executive Director, including calendar management, correspondence, travel coordination, and meeting preparation.
- Coordinate Board of Directors activities, including agenda development, board packages, minute-taking, maintaining records, and supporting board governance processes.
- Organize and support major organizational events such as Annual General Meetings, open houses, graduations, and community gatherings.
- Prepare, edit, and manage documents including reports, presentations, funding-related materials, and government filings with a high level of accuracy and attention to detail.
- Maintain confidential records and handle sensitive information with discretion in all interactions with leadership, staff, and external partners.
- Develop and maintain organized filing systems, contact databases, and administrative processes to support operational efficiency.
- Support basic budget tracking and administrative coordination related to events and organizational activities.
- Communicate professionally with internal and external stakeholders, ensuring timely, respectful, and accurate responses while redirecting inquiries appropriately.
- Prepare and manage professional social media content and marketing materials, ensuring brand consistency and clear communication.
Qualifications:
- Demonstrated experience in an administrative or executive support role, preferably within a non-profit organization serving Indigenous communities.
- Knowledge and understanding of Indigenous cultures, traditions, and community dynamics; ability to work respectfully within this context.
- Strong professionalism, including the ability to maintain boundaries and uphold ethical standards in a community-based environment.
- Proven ability to handle confidential and sensitive information with a high level of discretion.
- Excellent written and verbal communication skills, with strong attention to detail in documentation and reporting.
- Advanced organizational and time-management skills, with the ability to manage multiple priorities and meet deadlines.
