The Position:
Summit Search Group has been partnered with Multi- Material Stewardship Manitoba on the search of their next Data Coordinator, Field Services. Multi-Material Stewardship Manitoba (MMSM) is a not-for-profit, industry-funded organization responsible for supporting and funding residential recycling programs for packaging and printed paper across Manitoba. Acting on behalf of manufacturers, retailers, and other organizations that supply these materials, MMSM is committed to reducing environmental impact through effective recycling strategies. The organization provides strategic oversight, operational coordination, and ongoing education to ensure a sustainable recycling system for Manitobans. With a strong focus on collaboration, compliance, and innovation, MMSM plays a vital role in improving recycling outcomes and supporting communities across the province in their sustainability goals.
Reporting to the Manager, Collection Field Services, the Data Coordinator is responsible for ensuring the accuracy, completeness, and compliance of community reporting data in alignment with MMSM program requirements. This role works closely with registered communities and First Nations to support claims submissions and reporting through the Municipal Online Reporting System (MORS).
The Data Coordinator plays a key role in maintaining strong relationships with municipal partners, supporting continuous improvement initiatives, and ensuring data integrity to inform program decision-making. The role also supports procurement processes, supply chain mapping, and transition activities associated with Manitoba’s move to a fully industry-operated and financed Extended Producer Responsibility (EPR) framework.
* Hybrid work model (minimum one day per week in office following probation).
Key Responsibilities:
Community Reporting & Data Integrity
- Support municipalities and First Nations with reporting through MORS by providing training, guidance, and ongoing technical assistance.
- Ensure reporting standards are met and documentation is submitted accurately and on time; track issues and follow up to maintain compliance.
- Review and validate submissions, analyze variances and year-over-year trends, and report irregularities or performance concerns to management.
- Maintain up-to-date reporting system records and community contact information.
- Prepare and process new municipal and group recycler agreements, ensuring accurate documentation and data management updates.
- Build and maintain strong relationships with internal teams and external partners, including municipal representatives and service providers.
Database, Contract & Supply Chain Management
- Maintain organized, accurate databases related to community reporting, service providers, contracts, and operational program data.
- Ensure service contract documentation is current, properly filed, and accessible to support reporting and administration.
- Support ongoing supply chain mapping to reflect current recycling services and providers across Manitoba.
- Assist with procurement documentation, RFP support, and bid review processes.
- Review and validate annual cost-monitoring surveys to ensure alignment with service contracts and program records.
Systems, Reporting & Technical Support
- Utilize advanced Excel skills (formulas, pivot tables, data validation) to analyze and synthesize data.
- Identify discrepancies across datasets and flag issues for resolution.
- Support troubleshooting, user access updates, data corrections, system testing, and enhancements within reporting platforms.
- Contribute to implementation of new tools and reporting systems during program transition.
Program Transition & Development Support
- Contribute to the design, development, and launch of systems supporting the transition to a fully industry-funded EPR program.
- Collaborate with internal teams and partners to help shape service standards, collection approaches, and communication strategies.
- Support implementation and coordination activities during program rollout, ensuring smooth transitions for communities and service providers.
- Participate in change management initiatives within a fast-paced, evolving environment.
Qualifications
Education:
Post-secondary education in environmental studies, sustainability, supply chain, operations, or a related field.
Experience:
Minimum two (2) years in an operations environment, preferably within supply chain, municipal services, or waste management.
Skills & Competencies:
- Strong analytical skills with the ability to summarize findings and provide recommendations.
- Advanced proficiency in Microsoft Excel and MS Office applications.
- High attention to detail with strong data management and organizational skills.
- Ability to manage multiple priorities and implement structured project plans.
- Excellent verbal and written communication skills, including the ability to present technical information clearly.
- Strong interpersonal skills and ability to build collaborative relationships.
- Experience with contract management is considered an asset.
