About Our Client: Our client is an industrial, commercial and institutional drywall, ceiling and acoustic systems company.
Position Scope:
Reporting to the Finance Manager, the Payroll Administrator is responsible for assisting in multiple financial activities relating to the company’s weekly payroll functions. This role requires precision, strong organizational skills, and the ability to manage sensitive financial data with confidentiality.
Responsibilities:
- Full cycle weekly payroll processing for unionized and non-unionized hourly and salaried employees in a timely and accurate manner.
- Audit payroll processing reports and time-cards for accuracy and completeness.
- Routinely analyze and audit payroll data to identify discrepancies, ensure data integrity, and resolve issues in a timely manner.
- Process staff expense forms for reimbursement, ensuring they are properly completed with appropriate support.
- Prepare monthly union reporting summaries, reconcile union dues and file related union due remittances.
- Prepare and file all payroll related statutory filings (e.g. WCB/WSIB, EHT, Payroll source deductions).
- Prepare and distribute employee tax forms and other government related documents (T4, T2202, Record of Employment).
- Generate ad hoc, monthly, quarterly, and annual payroll reports.
- Address and resolve payroll-related inquiries from employees, providing letters of employment and/or addressing any discrepancies or concerns with pay.
- Maintain detailed payroll records for audit purposes in compliance with statutory requirements.
- Collaborate with the HR department to ensure accurate and up-to-date pay and personnel records (new hires, terminations, changes in compensation).
- Administer salary increases and bonuses as per company policies.
- Work with the union, facilitating referrals and monitoring the apprenticeship program.
- Perform additional financial duties as assigned.
Required Skills and Knowledge:
- Strong knowledge of Canadian payroll laws and regulations, payroll systems, internal controls, and financial management.
- Advanced proficiency in MS Office, particularly Microsoft Excel for reporting.
- High attention to detail and accuracy.
- Excellent verbal and written communication, problem solving, and analytical skills.
- Ability to maintain confidentiality and professionalism at all times.
- Ability to adapt to change and work under pressure and adhere to strict deadlines.
- Strong organizational, time management, and prioritization skills.
- Ability to work independently and efficiently.
- A team player with strong interpersonal and collaborative skills.

Education and Experience:
- Minimum of 3+ years of related experience processing full cycle payroll in a mid-sized company is required.
- Experience with payroll for unionized and non-unionized employees is required.
- Experience working with multiple unions is an asset.
- Previous experience on SAP, Ceridian Dayforce, ADP Workforce Now, Plexxis PM Accounting, and/or Bamboo HR is considered an asset.
- Completed Payroll Compliance Practitioner (PCP) Designation considered an asset.
- College Diploma (or equivalent) in payroll, accounting, human resources or other related fields is preferred.
- Experience in mid-size construction industry considered an asset.
