Our client supplies field servicing forming and shoring rental products for concrete construction. They are looking for a full-time Order Desk Coordinator to join their team based in Toronto, Ontario. This is an on-site position.
The Order Desk Coordinator role is responsible for the handling and storage of returned products from customers as well as organizing and executing returns to the organization’s domestic and international vendors and products to be disposed of. This role requires attention to detail and close working relationships with many departments within the organization, including but not limited to Regulatory, Customer Service, Purchasing, Warehouse and Finance. This role provides reporting and detail to the management team allowing for a clear understanding of the flow of returned goods as well as compliance with vendor return requirements.
Some of your key responsibilities in this role will include:
- Leading end-to-end returns process including return authorization creation, reverse logistics, inventory postings, and claims management.
- Developing and executing procedures to reduce exceptions/damages caused by warehouse and delivery mishandling.
- Working with Traffic and Shipping Coordinators to ensure that DOA inventory is repaired in a timely manner.
- Posting non-physical Customer credits.
- Creating and posting non-physical credit POs for customer credits.
- Creating and posting physical credit POs for customer credits.
- For Customer-owned inventory, verifying the inventory, separating the inventory on other skids, labelling all the inventory, and adjusting the inventory into stock.
- Stacking, verifying, wrapping, and placing the Customer-owned inventory in the racks within the warehouse.
- Working in a safe manner in the warehouse.
- Following the processes in each area.
- Supporting the team in anything that is asked of you (team player).
- Supporting other teams within the warehouse as needed.
- Working on special projects as assigned by your supervisor and / or Manager.
- Vendor Return (RTV) handling, processing, and shipping.
- Maintaining and processing inventory of key service parts.
- Training and process improvement.
- Processing and acknowledging customer return orders in a timely manner with a high degree of accuracy and attention to detail.
- Facilitating consistent processes with clean handoffs.
- Issuing returns material authorizations to customers.
- Creating service orders and overseeing Customer returned claim movement/progress.
- Administration of returning goods for repair or credit.
- Liaison between the customer, Inside Sales, Distribution, Production, Quality and Services teams.
- Creating an exceptional customer experience by managing and proactively communicating with customers on return and order status changes.
- Maintaining accurate, organized, and up-to-date records.
- Continually assessing and prioritizing workload based on customer requirements.
- Establishing and nurturing strong relationships with customers, suppliers, and internal partners.
- Communicating and collaborating with internal partners to exceed customer expectations.
- Providing back-up support for the other staff as required.
- Other duties as assigned.
Qualifications:
- Minimum of 3 years of Construction experience.
- Knowledge of Avontus Software is an asset.
- Experience supporting employees in Industrial, Construction or Commercial environments.
- Valid G Driver’s License and a Clean Drivers Abstract are mandatory.
- Answering the telephone.
- Adherence to the organization’s policies and procedures and the HSE manual policies and procedures.
- Ability to recognize potential hazards and act appropriately.
- Responsible for Accident Investigation of Trucks.
- High ethical standards, and ability to maintain a high level of confidentiality.

- Technical product knowledge (Scaffolding/ Shoring/ Swing Stage) and experience is preferred.
- Remaining in a stationary position, often standing, or sitting for prolonged periods is required.
- Light work that includes moving objects up to 20 pounds.
- No adverse environmental conditions are expected.
- Ability to work in a fast-paced environment involving numerous task changes.
- Must be able to read and write English.
- Must be comfortable with using a computer, basic skill level with Microsoft Word and must be excellent with Excel.
