Summit Search Group is excited to partner with our client, Pitura Seeds. We are seeking an experienced Operations & Administrative Assistant to join their dynamic team. Pitura Seeds is Western Canada’s largest family-owned pedigreed seed processing facility, with a proud heritage spanning 100 years and three generations. The Role:
Pitura Seeds is seeking a dynamic and detail-oriented Operations & Administrative Assistant to support its growing business. This role is central to ensuring efficient office operations, smooth inventory management, and accurate financial processing.
The successful candidate will work closely with multiple departments, assist with administrative and bookkeeping tasks, run the truck scale during bulk seed deliveries, and support the accounts payable/receivable functions of the company.
Responsibilities:
- Run the truck scale for bulk seed deliveries, including recording and processing scale information.
- Assist with inventory of bagged product, including preparing bills of lading and conducting periodic inventory counts.
- Support timely and accurate entry of invoices, purchase orders, and work orders.
- Generate reports to support sales, operations, and internal decision-making.
- Provide administrative and clerical support to multiple staff, ensuring timely adherence to internal and external deadlines.
- Serve as the first point of contact for customers and general inquiries.
- Review, sort, and distribute incoming and outgoing mail and courier shipments.
- Assist in preparing regularly scheduled reports.
- Coordinate and schedule internal and external meetings, appointments, and travel arrangements.
- Maintain office supply inventory and place orders as required.
- Develop a thorough understanding of internal systems, tools, and operational processes.
- Contribute to process improvements and new ideas to enhance workflow and operational efficiency.
Qualifications:
- Minimum of two years of administrative assistant experience.
- Strong organizational skills with the ability to multi-task effectively.
- Excellent communication and customer service skills.
- Proficiency in Microsoft Office applications (Excel, Word, Outlook).
- Accounting experience an asset.
- Ability to learn and work within company-specific programs and cloud-based tools.
- Strong telephone and interpersonal skills.
