This role is a key part of MCA’s operations team, responsible for driving accuracy, efficiency, and client service in the delivery of the Advance Payments Program and membership fees. The Organization:
Manitoba Crop Alliance is a farmer-led non-profit organization representing corn, flax, sunflower, wheat and barley farmers in Manitoba. MCA supports the economic sustainability of its members through research, market development, advocacy, and timely information. The organization administers producer membership fees and the Advance Payments Program (APP) on behalf of Agriculture and Agri-Food Canada, providing financial tools and administrative services that support Manitoba farmers in building strong, resilient operations.
What You’ll Do:
Membership Administration
- Lead monthly and quarterly Membership fee collection activities, ensuring accurate receipt, verification, and import of Membership reports.
- Manage the online refund system, including transaction review, member communications, and payment processing.
- Maintain the Membership database, ensuring records are current and reporting is timely and accurate.
- Communicate with buyers and processors to support compliance and timely submissions.
- Accurately apply and reconcile payments and manage all Membership fee-related documentation.
Advance Payments Program (APP)
- Act as the first point of contact for producer inquiries, delivering knowledgeable and responsive member service.
- Review and validate APP loan applications, ensuring accurate calculations and documentation.
- Conduct credit checks, register liens, and maintain priority documentation.
- Process loans, collect and apply any loan payments, issue monthly statements, and manage client records with a high degree of accuracy.
- Support loan default management and collaborate with the APP Officer to ensure compliance and timely communication with clients.
Administrative Support
- Lead front desk operations including answering phones, handling incoming/outgoing mail, and preparing daily deposits.
- Support special projects, office initiatives, and provide additional administrative assistance as needed.
- Ensure all duties comply with internal procedures and program guidelines.
What You Bring:
- 3+ years’ experience in administrative work, accounts receivable, bookkeeping, or a related field.
- Post-secondary diploma in accounting, business administration, or a related discipline is an asset.
- High level of accuracy and strong numerical literacy.
- Proficiency with Microsoft Office (Excel, Word, Outlook); experience with database systems is an asset.
- Strong organizational skills with the ability to manage data, prioritize tasks, and meet deadlines.
- Excellent interpersonal communication, professionalism, and customer service orientation.
- Knowledge or interest in Canadian agriculture and crop production is a definite asset.
- Dependable, self-motivated, and comfortable working both independently and collaboratively.
- Valid driver’s license and access to a vehicle required.
