Position Scope: The Project Coordinator is tasked with planning, communicating, executing, documenting, and reporting the day-to-day activities of construction projects. This role is part of the Project Management Team (PMT) and works closely with other internal departments (ex. Safety, Purchasing, Field, and Estimating) to create comprehensive plans for achieving internal/external project needs or expectations. They assist in maintaining the company’s reputation in the industry for superior craftsmanship and service, with the goal of establishing long-term, repeat customers.
Responsibilities:
The key responsibilities of the Project Coordinator will vary and depend on both the size/scope of the project and client expectations. The main role is communication and documentation. Please note: this role is not limited to the responsibilities listed below and will require adaptability to achieve all project objectives.
Pre-construction phase
- Review scope of work, material takeoff, and labour estimate (tender and estimate documents)
- Attend internal Hand-over meeting with Estimator, Site Superintendents, other department members, and Management
- Document Handover meeting minutes and save to the project folder
- Acquire, submit, and track samples/submittals for approvals of project materials
- Prepare initial material and equipment order; review with Foreman and Site Superintendents
- Plan delivery/logistics requirements, including safety and site reviews
- Acquire digital drawings and circulate to parties responsible for shop drawings
- Review supplier and subcontractor quotes and secure fixed pricing
Construction phase
- Review, store, and communicate various documents like: Supplemental Instructions (SIs), Contemplated Change Notifications (CCN’s), Requests for Quotations (RFQs), Change Orders (C/O’s), Change Directives (CD’s), and Requests for Information (RFIs)
- In collaboration with the Field, update and communicate Coordination reports
- Assist Foreman with projected material orders; coordinate delivery time/location
- Report progress versus estimated hours with Foreman and Project manager (i.e. weekly progress reporting)
- Assist in the support and enforcement of Health and Safety policies
- Assist project team in compliance with quality control
- Coordinate mock-ups
Closeout phase/project completion
- Review deficiency list with Foreman and Site Superintendents
- Attend post project autopsy and help share lessons learned and overall progress
- Acquire and submit warranty and close out documents
Required Skills and Knowledge:
- Strong data and documentation management skills
- Strong communication and interpersonal skills (both oral and written)
- Ability to carry out short term planning on your own
- Attention to detail, even under pressure
- Time management and multi-tasking skills, with the ability to meet deadlines
- Ability to read and interpret blueprints, drawings, and specifications
- Ability to coordinate resolutions between internal departments
- Proficiency in Microsoft office package (ex. Word, Excel, Outlook, etc.)
- In-depth knowledge of new systems/materials and building codes/regulations an asset
- Analytical and problem-solving abilities is an asset
- Ability to maintain strong relationships
- Ability to work independently as well as on a team
- Ability to adapt to change and work in a fast-paced environment
- A dynamic team player with the ability to work with people at all levels in the organization
- An organized self-starter who is motivated and take initiative to take a project from strategy to completion
- Positivity and contribution to a healthy work environment
Education and Experience:
- Construction Engineering Technology Diploma from an accredited college is an asset
- 1 to 3 years of relevant experience in major construction sites (preferred)
- Previous work experience in a project coordinator/management role is an asset
- Personal transportation to travel to jobsites is required
- Working at Heights training required
- WHMIS training required
- Ability to travel within Canada, including overnight travel
