About the Organization
Summit Search Group has been retained by a growing Canadian organization on the recruitment of a Sales Operations Coordinator. This is an exciting opportunity for a highly organized professional who enjoys keeping projects moving, coordinating with multiple stakeholders, and ensuring customers receive exceptional service from order through delivery. The organization offers a collaborative team environment where operational excellence and strong customer relationships are central to how the business runs.
The Opportunity
The Sales Operations Coordinator serves as the connection between customers and internal departments, ensuring orders are processed accurately, inventory is available, shipments are coordinated, and customers stay informed every step of the way. Working closely with sales, operations, logistics, finance, and production, this role combines customer relationship management, logistics coordination, order administration, and operational support in a fast-paced environment where no two days are the same.
Key Responsibilities
- Coordinate customer orders from quote through shipment and delivery, working collaboratively with sales, operations, production, logistics, and finance to keep orders moving while maintaining a clear focus on customer priorities.
- Monitor inventory levels across multiple warehouse locations and coordinate replenishment when required; proactively manage international and special orders, coordinating product staging, inspections, shipping documentation, releases, and import/export and customs documentation as needed.
- Act as the primary point of contact for order updates and customer inquiries; understand each customer’s needs and usual ordering patterns, identify changes or interruptions, and follow up proactively to anticipate requirements and address concerns.
- Maintain strong relationships with customers, logistics providers, and warehouse partners; resolve order and delivery issues in collaboration with internal teams and external partners; and ensure customers receive accurate, timely information regarding deliveries, inventory, and timelines.
- Track all orders through final delivery, including domestic, cross-border North American, and international shipments, confirming receipt and following up on outstanding issues.
- Maintain accurate information within ERP and business management systems; prepare reports, documentation, and order records; and identify opportunities to improve workflows and customer experience across sales and operations.
Qualifications
- Experience in operations coordination, logistics, customer service, inside sales, account coordination, or supply chain; a background that spans more than one of these areas is considered a strong asset.
- Strong organizational skills with the ability to manage multiple priorities simultaneously in a fast-paced, deadline-driven environment.
- Excellent communication and relationship-building abilities, with the interpersonal confidence to serve as a reliable point of contact for customers and internal teams alike.
- Strong attention to detail and problem-solving skills, with a proactive approach to identifying issues and working them through to resolution.
- Experience with ERP systems or order management software is considered an asset; experience supporting domestic or international shipping and customs documentation is also valued.
- Proficiency with Microsoft Office, particularly Excel, is required.
