Operations Manager – Real Estate Brokerage

About Our Client: Our client is a leading boutique real estate firm located downtown Toronto.

Position Scope: Our client is looking for a dynamic, driven and entrepreneurial Operations Manager to join their growing team. As the Operations Manager, you will be reporting directly to the Broker of Record. Your role will be to fully manage the day-to-day operations of the business while positioning the company for growth and success. You will be responsible for the well-being of staff, as well as clients. Our client will rely on you to track, monitor and report all aspects of the business.

Key Responsibilities:

Operations Management

• Fully oversee and manage operations and team
• Increase the efficiency and profitability of the office
• Support the Broker of Record with implementing vision by creating and executing a strategic plan to further develop and grow the business, positioning the company for success
• Implement processes consistent with the strategic business plan
• Work with the Broker of Record to optimize on the foundation they have created and identify immediate business needs
• Build and maintain an inclusive and positive office culture
• Fully understand the brand, business model, vision and values, and recommend ways to leverage appropriately
• Oversee and manage the property management operations
• Prepare presentations and communicate protocols and procedures to the team
• Keep the Broker of Record informed and up to date with progress

Human Resources

• Manage the onboarding of new team members
• Train, supervise and provide mentoring to the team
• Coordinate all training, coaching and team building events
• Monitor and document team members’ performance for quarterly and yearly reviews
• Manage staff leaves (i.e. vacations, sick days, day off requests, etc.)
• Enhance team spirit through extracurricular activities and events
• Implement processes, policies and procedures
• Delegate and assign tasks and check to ensure they are completed
• Provide support to the team on tasks as required
• Set priorities for team and keep projects moving forward by creating workflows
• Manage and improve administrative systems in the office
• Complete Monthly Office Schedule
• Manage and coordinate new agent onboard processes (i.e. submit applications, etc.)
• Maintain and manage agent files (i.e. transfers, brokerage registration forms and terminations)
• Lead weekly and monthly accountability meetings with staff (i.e. goal setting, sales pipeline overview)
• Guide and train agents and staff on compliance related to RECO/TREB/FINTRAC (code of ethics, etc.)

Listings & Deals

• Monitor and manage listings and closings
• Approve all listings prior to going live
• Receive and monitor report of upcoming closing and closed deals from Accounting
• Oversee staff and agents with completion of contracts and closings
• Maintain all Brokerage files accordingly
• Ensure all deposits are received
• Ensure complete deal files are submitted to the Brokerage within 24 hours
• Monitor and track all business activities (i.e. Top Producer, Asana)

Accounting

• Responsible for company spending and cut unnecessary costs (i.e. budgets, contracts and credit card spending)
• Manage Brokerage accounting (i.e. monthly reconciliations, bank deposits,)
• Monitor income and expense reports (cut unnecessary costs)
• Ensure Brokerage compliance with RECO/TREB/FINTRAC
• Ensure all Brokerage team dues are paid on time (i.e. RECO renewal)

Marketing

• Oversee and manage marketing development for the Company (i.e. website, social media, etc.)
• Nurture and maintain key relationships with clients, vendors and community leaders (i.e. participate in local events)

Client Service Excellence

• Ensure excellent service and client satisfaction
• Connect with clients before and after closing
• Maintain and nurture client relationships
• Provide after-close appreciation to clients
• Follow-up and reconnect with past clients to generate business
• Track and manage leads in Top Producer
• Ensure leads are serviced accordingly
• Organize client appreciation campaigns and events
• Nurture and grow business relationships via database management and executing on marketing strategies

Required Skills and Knowledge:

Education and Experience:

• 5+ years of experience in the Real Estate industry
• Post-secondary education in Business, Real Estate, or Human Resources is considered a strong asset
• Real Estate Team leadership experience is considered an asset
