Position Scope:

Our client is seeking a dynamic, motivated Administrative Coordinator to support the President and the rest of the executive team. The Administrative Coordinator will have accountability for a variety of tasks, with the opportunity to make a major impact on the organization’s success. The right individual is detail-oriented, proactive and professional. This is a high-profile position that interacts extensively with both internal and external stakeholders.

 

Responsibilities:

  • Coordinate executive communications, including taking calls, responding to emails and interfacing with clients
  • Prepare internal and external corporate documents for team members and industry partners
  • Schedule meetings and appointments and manage travel itineraries for both executive team and board members
  • Arrange corporate events to take place outside of the workplace
  • Books boardrooms, office equipment, catering service as needed and organizes materials and supplies for meetings and functions
  • Maintain an organized filing system of paper and electronic documents
  • Compile, create, modify and generate various reports for internal and external reporting
  • Produce a variety of materials including presentations, reports,
  • minutes of meetings, invitations, and correspondence
  • Draft and proofread a range of internal and external correspondence on behalf of the Executive
  • Receive, review and prioritize incoming mail and email, referring materials to Executive for action as appropriate
  • Receive visitors and phone calls from a variety of internal and external sources
  • Support the Board of Directors and its committees as assigned
  • Ensure distribution of all meeting materials for Board, committee, working groups, and other meetings
  • Fields general requests for information and/or support from internal and external stakeholders
  • Other administrative duties as assigned

 

Required Skills and Knowledge:

  • Must be able to work independently with little direction
  • Possess the ability to problem solve and take responsibility for decisions they have made
  • Ability to work under pressure to meet deadlines
  • With very limited internal human resources, must be resourceful in running the office and solving problems on their own when they arise

Internal Communications:

  • In small working environment, must possess the ability to get along well with colleagues
  • Must portray a professional manner and appearance when greeting Suppliers, Board Members and other visitors to the office

External Communications:

  • Possess excellent interaction skills when communicating with Board of Directors, Merchandise Committee Members and top management of various companies

 

Education and Experience:

  • Post -Secondary Diploma or Degree in Business or related program
  • Minimum 3 years experience specifically in consumer-packaged goods would be an asset
  • Experience in retail merchandising, preferably in grocery retail would be an asset
  • Ability to develop and implement tactical plans
  • Excellent understanding of supplier and customer relationship management
  • Understanding of marketing fundamentals as they apply to the business
  • Excellent financial skills
  • Strong computer skills (Microsoft Office Products)
  • Strong customer service orientation
  • Good working knowledge of Nielsen analytical tools would be an asset
  • Negotiation skills would be an asset
  • System thinking and continual process improvement skills
  • Excellent analytical and problem-solving skills
  • Strong oral and written business communication skills
